Soft Proofing in packaging: what it is, how it works and why it is your best defence against print errors

Years ago, working at a branding agency, we experienced one of those crises nobody forgets. In the middle of a print run of thousands of boxes of frozen cannelloni, the client called: on one of the sides of the box, where the product image and text should have appeared, the image and text of their lasagne had come out instead. Same manufacturer, same range, completely different product.

The incorrect artwork had passed through many hands, many departments, many reviews. And it still reached print. The consequences: entire print run lost, machines stopped, delayed launch, unhappy client, costs of tens of thousands of euros.

What is soft proofing?

Soft proofing is the digital review and validation of artwork before it is sent to print. In the context of packaging management, it encompasses the entire digital review process: automatic version comparison, text and barcode validation, collaborative annotations and formal document approval before it leaves for the printer.

How soft proofing works in MyMediaConnect

The automatic version comparator analyses two PDFs and marks every difference: a changed text, a varied nutritional percentage, a disappeared layer, a modified colour. The system detects everything, without fatigue and without the possibility of missing anything. Artwork is viewed natively in the browser at high resolution. A structured approval workflow records every approval with date, time and user. Role-based validation checklists ensure each reviewer confirms their specific criteria before approving.

How much can soft proofing save you?

The cost of a packaging error that reaches print typically ranges from €5,000 to €150,000 in direct costs (reprint, machine downtime, launch delays). In pharmaceuticals or when the error involves allergen information or regulatory texts, the cost can be far higher if it leads to a product recall.
